2012 Exhibitor Information

Registration:

Exhibitors will be provided a complete convention kit containing the official program and will receive two (2) badges per booth. This will entitle them to attend all coffee breaks and events included in the registration as well as scientific sessions. Please note the Welcome Mixer will be at Glasgow City Chambers, George Square, Glasgow, Scotland on Sunday evening between the hours of TBA; all Exhibitors are encouraged to attend this function. At that time you may also pick up your registration kit. All Exhibitors are invited to attend the Awards Banquet on Thursday evening which begins at 1900h, place TBA.

Set-up / Break-down:

Commercial exhibits will be set up on Monday,  between the hours of 0800 and 1200 in the Exhibit Hall of the Glasgow Royal Concert Hall, which is located at 2 Sauchiehall Street, Glasgow, Scotland. Exhibits will officially open on Monday, TBA at 1000h.  Exhibits must be removed from the poster / exhibit area by 1900 h on Thursday, TBA.

As a courtesy to attendees interested in viewing the exhibits, exhibitors are required to open their exhibit on time and to staff it throughout the day until the scheduled closing time. It is not compulsory to man your booth during free periods.

Rates:

All rates are listed in US dollars. Registration fee for exhibitors is $1815 if postmarked before June 1, 2012. After June 1, 2012 the regular rate of $2035 will be charged. Rental price includes two name badges, 1 booth, identification sign (maximum 30 characters), and listing in the program provided to all registrants. All exhibitors must register electronically on-line through the registration site.

Advertisements:

Exhibitors are offered the opportunity to advertise throughout the meeting by placing an advertisement in the abstract volume ($1000 for a full page color or $650 for a half page color advertisement) or by sponsoring a coffee break, poster session, or social function. Booths:
All booths are approximately 8 feet X 10 feet and are supplied with:

- 8’ high background and 3’ high side dividers in flameproof black drapes.

- One 6’ display table topped with white vinyl and skirted on three sides in white drapes.

- Two side chairs

- One booth identification sign, consisting of company name in block letters on a white background

- One waste paper basket

- The exhibit area is carpeted

Booth Furnishings:
Additional furniture, lighting and power will need to be ordered if so required, by exhibitors. EXHIBITORS ARE URGED TO ORDER FURNISHINGS IN ADVANCE TO AVOID PAYING THE HIGHER RATES AT THE SHOW.

Freight handling services which include receiving of inbound freight, storage, and delivery to exhibit space

Exhibitor services are billed directly to the exhibitor and include the following:

a.) Decorating equipment such as tables, chairs, easels, and display panels

b.) Electrical outlets and floodlights

c.) Exhibit and electrical labor

All of these services are spelled out in exhibitor kits which will be sent directly to exhibitors who have contracted for space.

TBA will have an Exhibitor Service Representative at the show during the move-in and move-out to assist exhibitors with any additional needs.

On-site Exhibit Hours:

    * Monday, September, 2010: 1000h - 1900h
    * Tuesday, September, 2010: 0800h - 1900h
    * Wednesday, September, 2010: 0800h - 1900h
    * Thursday, September, 2010: 0800h - 1730h

Shipping:
All Exhibitors may ship their material to TBA. Freight handling services which include receiving of inbound freight, storage, and delivery to exhibit space will be handled by TBA. These services are spelled out in exhibitor kits which will be sent directly to exhibitors who have contracted for space.  Shipping Labels & Courier Waybills should be addressed as follows:

Please take the following steps for Outbound Forwarding:

  1. At the close of your show find an TBA representative to approve and inspect your freight packaging and labels.  Labels must include a carrier account number.  Once approved, and TBA representative will take possession of your materials.
  2. Contact the carrier of your choice to schedule a pick-up at the TBA
