All authors giving either an oral or poster presentation at OOXX must submit an extended abstract. Extended abstracts appearing in the conference proceedings (CD) are not counted as publications. The proceedings will not be protected by copyrights, nor will the material be distributed beyond the conference attendees. As such, any extended abstract may be submitted to a journal, without modification and without fear of copyright infringement or violation of prior publication criteria. A compendium of all extended abstracts will be distributed to the OOXX conference to attendees (only) on a CD-ROM as part of the conference registration package. The 'Short Abstract' will be substituted on the CD-ROM for those failing to submit an 'Extended Abstract' by the due date.

EACH EXTENDED ABSTRACT MUST BE SUBMITTED AS A PC/DOS-COMPATIBLE FILE IN 'MS WORD' OR 'RTF' FORMAT.

EXCEPTION: Contributors using LaTeX may submit in PDF but MUST BE AVAILABLE TO PROVIDE SHORT TURNAROUND EDIT CHANGES THAT MAY BE REQUESTED (such as significant deviations from the format guidance that follows).  Be sure to use Times New Roman or Times fonts (per the guidance) and ensure the font is embedded in the PDF.  Some LaTeX common/default fonts are known to display poorly on PCs.

EACH EXTENDED ABSTRACT MUST CONFORM TO THE FOLLOWING SPECIFICATIONS:
File name: use your short abstract identifier number (i.e., your registration confirmation number) and the appropriate suffix: .doc or .rtf (e.g., 101.doc, 232.rtf). This allows correct matching with previously submitted short abstracts.

  • Maximum length: six pages recommended, excluding figures.
  • Paper format: use 8 1/2 X 11 inches or A4.
  • Margins: 0.8 inches for TOP, LEFT, and RIGHT; and 1.0 inch for BOTTOM
  • Font: use 12 point; Times New Roman, Times, or equivalent (EXCEPT for the title which will be 14 point font).
  • Title format: 14 point font, bold, centered, and in 'Title Case'. Insert one blank line between the title and authors name(s)/address(es).
  • Author(s) names: Centered and include address(es). In the case of multiple authors, underline the name of the presenting author. Insert one blank line between the last author/address and the body of the extended abstract.  Authors may, optionally, include email addresses following their mailing address to more readily enable contact by others receiving the conference CD.
  • Section Headings: “ALL CAPITALS”, bold, and left justified. Leave one blank line between the section heading and the first paragraphs of the section.
  • Paragraphs: left justified, separate with a blank line (do NOT indent the first line of paragraphs).
  • Picture or graphic titles and captions: bold, italics, centered. (To meet ‘accessibility’ requirements, Titles and Captions must be part of the report text and not part of the picture or graphic.)


Graphics can be in either black and white or color. There is no limit to the number that can be used within an extended abstract (graphics do not count against the recommended page limit). Use only PC compatible images (such as JPG, GIF, PNG).  Do not use MAC unique images (such as PICT). Embed the graphics within the text of the extended abstract followed by the caption. Center the caption below the graphic, in bold and italicized font. The caption should be 'text' in the document, not part of the embedded graphic. This enables those requiring assisted reading programs to understand what the graphic displays. If the caption does not already describe or explain the graphic/picture, then include in the caption, in [brackets], a brief description of the graphic/picture or explanation of the idea the graphic displays. This will allow those who require assisted reading programs that read text only to understand the point of the graphic/picture or what it was intended to display. Manually number graphic displays and avoid “auto-numbering” features. If text boxes are added to a photo, “group” all text boxes with the underlying photo.

Mathematical symbols/equations should use the standard MS Word Equation Editor or be embedded as a 'graphic'. Use of unique fonts will not display properly on any other computer unless that computer has the same font installed locally that was used to create the equations initially (this may be overcome if the font used can be 'embedded' in the document. MS Word allows only True Type fonts to be embedded.). Some propriety fonts cannot be embedded. The alternative is to create your symbols/equations as a graphics image and embed that graphic in your document. If symbol/equation fonts (as opposed to embedded graphics) are used, to ensure correct conversion to the PDF format used on the distributed CD-ROM, it is suggested that you email a pdf to prestigepublishing@leskonet.com with your name and registration number included in the message. (This is not a substitute for the electronic file of the abstract but rather to allow confirmation of correct symbol/equation conversion in the final PDF file):

TO SUBMIT YOUR EXTENDED ABSTRACT:


   1. (1st preference) Upload it via the web interface at the ONR Ocean Battlespace Sensing S&T page at http://onroutside.onr.navy.mil/aspprocessor/ocsci32/.
Files submitted via the web may not be viewed, changed, moved, or deleted by anyone other than the conference support staff. If you must submit a revised abstract, add "rev1" to the original root name to ensure our staff can discern and publish on CD the latest submission (e.g., 105rev1.doc, 105rev2.doc).  You will receive an upload confirmation email to the email address you provide at the website.

   2. (2nd preference) Email your abstract as an attachment to mitt.mittendorff.ctr@navy.mil. Expect a confirmation of receipt within two working days.
